Loaner Bikes and Cars

Booking is done via TimeEdit 


Booking of loaner bikes

  • Maximum time of use: 24 hours. If needed for a longer time, the bicycle has to be re-booked.
  • Loan is only permitted for work-related needs, not for private use.
  • Booking a bicycle is obligatory, using TimeEdit via this link. To find the cars/ bicycles filter on “Fordon/släp” in “Equipment type”.
  • Collection of keys: Bike keys are in the key cabinet on the 3rd floor in Geocentre II, in the red building, between office 345 and 346. 
  • Contact IT_bookings [at] mgeo [dot] lu [dot] se (IT_bookings[at]mgeo[dot]lu[dot]se) to get a personal access code to the cabinet.
  • Collection of helmets: Helmets are available in the cabinet close to the goods entrance.
  • Collecting the bicycle: The bikes are inside the east goods entrance, ground floor.
  • Adjust the bike according to your needs (saddle, steering). All necessary tools are available at the MGeo bicycle parking spot. 
  • Treat the bike with care. Lock it when parked.
  • Returning the bicycle: When returning the bike, make sure it's not obscuring the exit path, put it behind the red line (important!). 
  • Remember to return the keys and helmet. This has to be done before the end of the time you have reserved the bicycle. 
  • Report any malfunctions to MGeo Geocentrumservice.

 

Booking of cars 

The department owns a Volkswagen Sharan (CAR1/BIL1), a Volkswagen Caddy Maxi (CAR2/BIL2) and a Volvo (VOLOVON). The cars can only be used by MGeo staff and students (with permission from an instructor). Loans are only allowed for work-related needs, not for private use.

Both Volkswagens can seat seven persons, but the Caddy Maxi is more suitable for transporting field equipment etc., due to its larger loading capacity. Both Volkswagens are parked in the hangar north of the yellow building, the Volvo is parked in the parking lot northeast of the yellow building. 

Only holders of a valid driver's license, employed by MGeo,may drive the cars.

Maximum time of use: The general rule is that one course/project can reserve one car for maximum one week. Exceptions to this rule can, under certain circumstances, be granted by the Head of department.
 

Booking the car: It is obligatory to use  TimeEdit via this link. To find the cars/ bicycles filter on “Fordon/släp” in “Equipment type”.. 

Do not reserve the car for longer periods than needed – be considerate of your colleagues. If you have reserved a car online and for some reason no longer need it – make sure you remove the online reservation ASAP to make it possible for others to use it. 
 

Collection of keys and fuel cards: The keys and fuel cards (one for each car) are in the key cabinet on the 3rd floor in Geocentre II, in the red building, between office 345 and 346. Contact IT_bookings [at] mgeo [dot] lu [dot] se (IT_bookings[at]mgeo[dot]lu[dot]se) to get a personal access code to the cabinet.
Picking up and using the car: The car is collected from the hangar (lock doors afterwards) or parking lot. It is the driver's responsibility to verify that the car is in roadworthy condition before departure.


Returning the car: Follow this obligatory procedure:
•    Refuel the car, clean the windshield, and clean the car internally. A vacuum cleaner and other needed equipment are available in the hangar. If the car has become dirty externally, please take it through a car wash before returning it. Use the fuel card to pay.
•    Refill washer fluid, motor oil and AdBlue (VW Caddy Maxi only) if the car indicates low levels of either fluid. There are detailed instructions on how to refill AdBlue in the binder in the VW Caddy Maxi. Use the fuel card if needed.
•    You should document the car usage by completing a form and a form copy, both of which can be found in the binder in the car. Leave the original in the binder and hand in the copy to Irma Haberman when you return the car keys (or as soon as possible after).
•    Return the keys and fuel card immediately after use. Put them in the key cabinet, using your personal code. Remember that one of your colleagues might need the car directly after your return.
•    If there was any problem with the car, please report it to MGeo Geocentrumservice. 
•    Also report damages to the car to MGeo Geocentrumservice.
Prices
•    The cars can only be used by MGeo staff. This means staff directly paid by MGeo (e.g. not staff employed by MGeo, who get their salary from a different department). Also remember that only MGeo staff are allowed to drive the cars. The applicable activity/project is charged for fuel, windshield fluid, AdBlue and costs related to washing and cleaning the car. Other than that, using the cars is free of charge.
•    In the event of vehicle damage, the activity/project is responsible. The deductible is 3,000 SEK.
